This Privacy Policy explains how Everbodi Limited T/A Jane Cox Fitness (“we”, “us”, “our”) collects and uses your personal data when you use our website, services and platforms.

  • use Everfit or any platform we use to deliver coaching

3) The personal data we collect

A) Data you give us directly

Depending on what you use, we may collect:

  • identity data: name

  • contact data: email address, phone number, social handles (if you provide them)

  • account data: login details, password (stored by the platform provider), preferences

  • purchase data: billing address, transaction info, what you bought

  • coaching data: goals, training history, lifestyle info, nutrition preferences you choose to share

  • body and performance data: measurements, weight, photos (if you upload), progress check-ins, workout completion, mobility notes

  • communications: messages you send us, customer support requests, feedback

B) Special category (sensitive) data

Because we work in fitness coaching, you may choose to share health information (e.g. injuries, conditions, symptoms, medications, PAR-Q responses).

This is “special category data” under UK GDPR.

We only process this when:

  • it’s necessary to provide coaching safely, and

  • you explicitly consent (for example by submitting the form / uploading the info / completing the PAR-Q)

You can withdraw consent at any time (see Section 10), but it may limit what we can provide safely.

C) Payment data

We do not store full payment card details.

Payments are handled by third-party payment providers such as:

  • Stripe (including Apple Pay if enabled)

  • PayPal

D) Data collected automatically

When you use our site or services, we may automatically collect:

  • technical data: IP address, browser type, device type, operating system

  • usage data: pages visited, clicks, time on page, referring URLs

  • approximate location: based on IP (not precise GPS unless you enable it in an app)

5) Our legal bases (UK GDPR)

We process personal data under one or more of these bases:

  • Contract: to deliver what you purchased (coaching, programmes, support)

  • Consent: for marketing where required, cookies where required, and for special category health data

  • Vital interests: only if needed to protect someone from serious harm (rare)

We only share data when needed to run the business and deliver services. This may include:

  • coaching platform providers (e.g. Everfit)

  • payment processors (e.g. Stripe, PayPal, Apple Pay)

  • website hosting and IT providers

  • email and messaging providers

  • analytics tools (e.g. Google Analytics or similar, if used)

  • accountants / bookkeepers

  • legal or regulatory bodies when required by law

We require service providers to protect your data and only use it for the service they provide to us.

We do not sell your personal data.

7) International transfers

Some of our service providers may store or process data outside the UK (for example in the US).

Where this happens, we use appropriate safeguards (such as:

  • adequacy regulations, or

  • UK International Data Transfer Agreement (IDTA) / UK Addendum to SCCs)

8) Cookies and tracking

We may use cookies and similar tracking tools to:

  • make the site work properly

  • remember preferences

  • understand usage and improve performance

  • measure marketing (where used)

  • coaching records (including check-ins): [e.g. up to 24 months after last activity] unless you ask us to delete sooner where possible

  • marketing lists: until you unsubscribe or request deletion

  • support messages: as long as needed to resolve issues and keep a reasonable record

We may keep some data longer if needed to resolve disputes, enforce agreements, or comply with legal obligations.

You may have the right to:

  • correct inaccurate data

  • request deletion (where applicable)

  • restrict processing

  • object to processing

  • data portability

You can withdraw consent at any time. We’ll stop future use, but we can’t always pull content already printed or shared by third parties.

We use reasonable organisational and technical security measures.

No online system is 100% secure, so you use the services at your own risk.

Our services are not for children and we do not knowingly collect data from anyone under 18.
